Flexible Cancellation and Refund Policy

General Overview

All Icon Tours reservations are subject to the terms and conditions outlined in each Tour Confirmation Voucher issued by the independent tour operator or guide service handling your tour. Each partner’s cancellation policy is stated directly on their confirmation voucher. Guests must carefully review the terms listed there, as those policies govern cancellations and applicable refunds.


For travel planning services and advance ticket purchases (such as for monuments, museums, sightseeing attractions, or transportation), all sales are nonrefundable. Refunds for other services—such as flights, vehicle rentals, hotels, and restaurants—are subject to the individual policies of the respective third-party vendors. Clients are responsible for requesting refunds directly from those providers.


Once a personalized travel plan has been completed and delivered to the client, all related planning fees become nonrefundable.


Basic Service Details

• The information found on this website forms part of this Service Agreement and our Terms and Conditions.

• The assigned tour guide will meet guests at the designated meeting point stated in the Tour Confirmation Voucher.

• Transportation to the meeting point is not always included for walking tours. Please check your tour confirmation voucher carefully to make sure you understand The location of the the Guide meeting point.

• Entrance fees to certain sites may not be included in the tour cost. Please review your tour description and confirmation for details on included and optional costs.

• Guests must arrive early—departure times are exact, and guides may not be able to delay tours for late arrivals.

• Group and Semi-private tour size varies by season; additional staff are provided in high season to maintain small group sizes.

• Private tours are exclusive to the booking party. Icon Tours guarantees that no tour pooling will occur.


Cancellations and Refunds

• All cancellation requests must be submitted via email from the same address used to make the original reservation.

• Entry tickets are nonrefundable. Tickets are pre-purchased for specific times and dates immediately after deposit payment and cannot be changed afterward.

• Icon Tours does not charge administrative refund fees. However, banks or payment processors may retain their transaction fees, which are not refundable.

• Cancellations made after the stated deadlines are subject to a charge equal to the deposit amount, plus any nonrefundable entry fees already purchased on the guest’s behalf.

• No-shows and last-minute cancellations (within the specified cutoff time) are nonrefundable.

• Icon Tours shall not be liable for losses related to transportation, accommodation, or other travel expenses due to cancellations by either party.

• In the event of extraordinary circumstances—such as strikes, extreme weather, pandemics, civil unrest, or natural disasters—Icon Tours will Negotiate on your behalf with the tour service provider for your requested refund. Guests must notify The tour service provider promptly by email or voicemail should their travel plans change unexpectedly.


Delays, Lost Guests, and Reservation Changes

• Guests who are delayed or wish to make last-minute changes (within 24 hours of departure) must contact Icon Tours by phone using the dedicated hotline number provided in the confirmation voucher.

• During peak seasons, email correspondence may be delayed. A voicemail message is sufficient to record your notification.

• Guests are responsible for reaching the meeting point on time. Refunds cannot be issued for missed tours.

• Because guides may have fixed appointments, extensions or rescheduling cannot be guaranteed for delayed guests.


Guest Contact Information and Communication

• Guests must provide an active contact number (preferably local or mobile) while traveling.

• Guests without mobile access must call Icon Tours one day prior to confirm their tour’s departure.

• If guests cannot be reached and last-minute changes occur (e.g., site closures, strikes, or weather-related disruptions), Icon Tours cannot be held responsible for lack of notice.

• Icon Tours will make every effort to notify guests promptly of cancellations or itinerary adjustments and, where possible, will offer rescheduling or refunds.


Tour Payments and Entry Fees

• Deposits may be made via MasterCard, Visa, or PayPal.

• Remaining balances are to be paid in local currency at the start of the tour, either in cash or by credit card (if accepted by the guide).

• Please bring exact payment amounts, as guides may not carry change or have access to card facilities on-site.

• Entry fees for sites are typically paid in cash at the time of the tour, unless stated otherwise.

• Guests who already possess valid entry tickets or discount cards must notify Icon Tours before paying the deposit, as pre-purchased entry fees are nonrefundable.

• Refunds requested after the tour has ended will be evaluated on a case-by-case basis.


Dress Code

Guests visiting churches or sacred sites must adhere to local dress codes requiring covered shoulders and knees.

Icon Tours cannot be held responsible for denied entry due to inappropriate attire.


Responsibility Disclaimer

Icon Tours (operating under Amira Network Travel) acts solely as a referral agent connecting guests with independent tour operators and suppliers in Europe and the United States. These independent entities provide transportation, guiding, event, and travel services.


Icon Tours charges referral fees for connecting guests to licensed third-party suppliers. Both the supplier and the buyer accept that payment of such fees activates the terms outlined in the respective Service Agreement, Terms and Conditions, and Confirmation Voucher.


Icon Tours, its affiliates, employees, and agents assume no liability for injury, damage, loss, accident, delay, or other incidents arising from the actions or omissions of independent suppliers or causes beyond our control (weather, strikes, terrorism, war, local laws, etc.). Guests are encouraged to purchase comprehensive travel insurance to protect against such risks.


All services provided are governed by the laws and regulations of the country in which they occur. Disputes under this Agreement are subject to the exclusive jurisdiction of the State of Wyoming, USA, unless otherwise required by law.

We will do our best to reschedule or issue a refund if you must cancel due to circumstances beyond your control.
